Privacy and Data Protection Notice

Sar‑El Canada respects your privacy. This notice explains what personal information we collect, why we collect it, how long we keep it, and who we share it with. By submitting the volunteer application form, you consent to the practices described below.

1. Information We Collect

When you apply to volunteer, we collect:

• Your name, street address, city, province, phone number, and email
• Your emergency contact’s name and phone number
• Your IP‑based location (city and province) at the time of submission
• Passport details and passport numbers
• Medical information required for volunteer placement
• Your acceptance of the online waiver (the waiver itself contains no personal information)

2. Why We Collect This Information

We use your information to:

• • Process your application and communicate with you
  • Verify your identity
  • Send your passport and basic medical information to Sar‑El in Israel for mandatory security‑clearance processing and placement
  • Contact your emergency contact if needed
  • Determine whether you have volunteered before
  • Maintain basic statistics about volunteer participation
  • Meet legal and administrative requirements

3. Sharing Information with Sar‑El in Israel

Passport and medical information must be sent to Sar‑El in Israel for mandatory security‑clearance and placement purposes.

This transfer occurs outside Canada, and Sar‑El Canada cannot control or guarantee how Sar‑El in Israel stores or uses the information once it is sent.

By submitting the application, you consent to this transfer as part of the volunteer‑placement process. If you do not agree to this transfer, please do not submit the application.

4. Where Your Information Is Stored

Our website and application system are hosted on secure servers in the United States. This means your information may be subject to U.S. laws, including possible access by U.S. authorities.

We take reasonable steps to ensure our service providers use appropriate security measures.

5. How Long We Keep Your Information

Different types of information are kept for different lengths of time.

Information Kept Long‑Term

We keep your name, city, and province for ongoing program needs, including:

• confirming whether you have volunteered before and when
• maintaining accurate statistics about volunteer participation

Information Deleted After 1 Year

The following information is deleted one year after your application or one year after your start date, whichever is later:

• Street address 
• Emergency contact information
• Passport details and passport numbers
• The Medical form from your doctor.

Waiver Acceptance

To prove that you agreed to the waiver, we keep:

• your name
• the date and time you submitted the form
• your IP address
• your city and province

Your street address is removed because it is not needed for this purpose.

We also keep archived copies of the website so we can show the exact waiver wording you saw at the time.

6. How We Protect Your Information

We use security measures such as:

• controlled access
• authentication requirements
• monitoring of system activity
• encryption where appropriate

We update our safeguards as part of ongoing risk management.

7. If There Is a Security Incident

If a privacy breach could cause serious harm, we will:

• notify you
• notify the appropriate privacy regulator
• keep an internal record of the incident

8. Your Rights

You may ask to:

• see the personal information we hold about you
• correct information that is inaccurate or incomplete

If you are not satisfied with our response, you may contact the appropriate privacy regulator, such as:

• the Office of the Privacy Commissioner of Canada
• the Commission d’accès à l’information du Québec (for Québec residents)
